Missed-therapy-session re-engagement
They missed one session and never rebooked — and in a talk-therapy app, that silence is usually goodbye.
What it does
A client books a therapy or coaching session, misses it, and doesn't put another on the calendar — or finishes a session and quietly never returns. In this category most of the loss lands in the first month, and a single un-rebooked session is where a client slips away for good. Nobody chases it: the therapist's week is full and the app waits for a tap that never comes. The agent picks the thread back up gently, reminds the client of what they had set out to work on, and makes rebooking a single tap — turning a silent drop-off into a kept appointment, while any sign of distress goes straight to a person.
How it works
- 1Trigger. a
session_missedorno_rebooksignal fires from the app backend — a booked session passed unattended, or a finished session left no next one on the calendar past the usual gap. - 2Decision. the agent reads the client's memory — the goal they named when they started, how many sessions they have kept, their preferred channel and quiet hours — and weighs whether a nudge genuinely helps now or would feel like pressure. Every unprompted message clears a quality judge first, and crisis-language detection runs on every reply before anything else.
- 3Action. a short, warm message on the channel the client actually opens — push, email, SMS, or in-app chat — names the gap without blame, recalls the work they wanted to do, and offers a one-tap rebooking into the next suitable opening.
- 4Follow-through. a booking writes back to the app backend and to memory; if the client rebooks on their own first, the pending nudge is cancelled; and any reply that signals distress or self-harm skips self-serve entirely and routes to a human and the crisis pathway with context attached.
Configuration
How the agent is wired for this use case.
session_missed or no_rebook event from the app backend, carrying the session type, the assigned therapist or coach, and the time since the client last appeared.- App backend · read session status, the no-rebook gap, and the assigned provider to time and target the outreach
- Scheduling system · surface the next suitable openings, offer a one-tap rebooking link, and write the booking back
- Customer memory · recall the client's stated goal, kept-session history, channel preference, and quiet hours; cancel a pending nudge on organic rebooking
- Clinician / crisis escalation queue · route any distress or self-harm signal straight to a human with the client's context
- Messaging channel · send the re-engagement message and the rebooking offer on the client's preferred surface
What you need
The inputs this use case runs on. Your channels stay yours; the agent supplies the judgment.
Signals
session_missed and no_rebook events, session-status and last-seen data, available openings, and client replies.
Data
the client's stated goal at sign-up, kept- and missed-session history, assigned provider, channel consent, quiet hours, and persistent memory of prior re-engagement contact.
Guardrails
the agent supports continuity and rebooking only — no therapy, counselling, diagnosis, or clinical advice; crisis- and self-harm-language detection on every inbound, with immediate human / crisis-pathway handoff and loop closure; judge gating on every unprompted message; consent, quiet hours, and frequency caps; stale-outreach cancellation once the client rebooks; the provider keeps owning the send channels; full audit of every contact.
Metrics it moves
- reactivation-rateup: clients who missed a session and went quiet get a warm, goal-anchored rebooking offer instead of a dead-end calendar
- churndown: the first-month drop-off that follows a single un-rebooked session is caught before it hardens into a lost client
- save-rateup: missed and un-rebooked sessions that would have lapsed are turned back into kept appointments, measured per cohort against a holdout
