What it does

A patient books, then doesn't show — or cancels with too little notice to fill the gap. The slot sits empty, the clinic loses the visit it had already staffed, and the patient drifts further from the care they came for. Most practices either let it go or leave a voicemail nobody returns. The agent picks the moment back up: it calls or messages the patient who missed, rebooks them into the next suitable slot, and works a waitlist to backfill the hole the no-show left behind. The revenue this recovers is additive — it sits on top of the deflection the inbound agent already delivers, not inside it.

How it works

    Trigger. a no_show or late-cancellation event fires from the scheduling system, carrying the missed appointment type, the provider, and the gap it opened.

    Decision. the agent reads the patient's memory — what the appointment was for, whether they've missed before, their consented channel and the times they tend to keep — and chooses the approach: a warm rebooking offer for a routine visit, or a gentler nudge where the history suggests friction. A judge gates every message and call script for tone, claims, and policy.

    Action. it reaches out on the patient's channel — a voice call, SMS, or WhatsApp — names the missed slot without blame, and offers the next two or three openings that fit, with a one-tap path to confirm. In parallel, the freed slot is offered to waitlisted patients who wanted an earlier date.

    Follow-through. the rebooking is written to the scheduling system and to memory; if the patient rebooks on their own or calls in first, the pending outreach is cancelled; and recovered appointments are measured per cohort against a holdout so the program proves the revenue is real.
