Renewal-window save

The renewal date is the one churn moment you can see coming. The agent opens a personal plan review before the lapse, not a recovery email after it.

What it does

Renewals are usually handled by a notice nobody reads: an automated email, a silent auto-charge, or a contract that quietly expires. Customers who had doubts, billing friction, or a plan that no longer fits get no chance to raise it, so the doubt resolves itself as a lapse. The agent turns the renewal window into a conversation. Ahead of the date it reviews the plan with the customer, surfaces what they actually used, fixes blockers like an expiring card or a mismatched tier, and handles objections one by one, so the renewal is a decision the customer made rather than a charge they later dispute.

How it works

  1. 1
Trigger. the renewal window opens. Typically a plan review 3 days before renewal for subscriptions, a renewal notice that went ignored, or a contract approaching expiry; insurance-style products start the conversation 60 to 90 days out.
  2. 2
Decision. the agent pulls the customer's memory: what they used this term, open issues, past objections, payment-method health, and any risk flags. It decides whether this is a quiet confirmation, a plan-fit conversation, or a save that needs an offer or a human.
  3. 3
Action. it opens a personal renewal conversation on the channel the customer actually answers (email, push, chat, SMS, or voice for high-value accounts): a short plan review, the specific blocker addressed, and a clear path to renew. Any payment step runs through the client's own secure payment hand-off.
  4. 4
Follow-through. objections and outcomes are written back to memory and the CRM; accounts that stay silent get one judged follow-up, not a drip; unresolved high-value cases escalate to a human with the full picture attached. If the customer renews on their own, queued outreach is cancelled.
Example
AgentYour subscription renews in 3 days. Before it does, want a quick look at what you used this year? You're on the team plan but most of the seats have sat idle since spring.
CustomerYeah, those seats were for a project that ended. Not sure the price makes sense now.
AgentThen let's not renew at that tier. The smaller plan keeps everything you're actually using at a lower price. I can switch you now and the renewal will go through at the new rate. Confirm here when you're ready.

Configuration

How the agent is wired for this use case.

Triggerthe renewal window opens — a plan review 3 days before renewal, a renewal_notice_ignored flag, or a contract approaching expiry — sourced from the billing platform's renewal and expiry dates
Tools & actions
  • Billing platform · read renewal and expiry dates and payment-method health; switch the tier so the renewal goes through at the new rate
  • Messaging channel · open the personal renewal conversation on email, push, chat, SMS, or voice
  • Payment provider · run any payment step through the client's hosted secure payment hand-off
  • CRM · read past objections and risk flags; write objections and outcomes back
  • Memory store · read what the customer used this term and open issues
Autonomyquiet confirmations and plan-fit conversations run unattended behind judge gating; the tier switch is money-moving, confirmed by the customer, and any charge runs through the client's hosted payment step under a bounded billing-action policy

What you need

The inputs this use case runs on. Your channels stay yours; the agent supplies the judgment.

Signals

renewal and expiry dates, renewal_notice_ignored, payment-method status, churn-risk flags on renewing accounts

Data

plan and usage summary for the term, customer memory (past objections, open issues, tenure), contract terms, channel consent

Guardrails

judge gating on every unprompted message; one follow-up cap on silence; offer policy bounded per segment; human escalation for high-value or contested renewals; cancellation of stale outreach once the renewal completes

Metrics it moves

  • renewal-rateup, by resolving doubts and blockers inside the window instead of discovering them after the lapse
  • churndown, as plan-fit conversations convert would-be lapses into right-sized renewals
  • save-rateup, on accounts that entered the window flagged at risk
